Introduction

Camunda is committed to complying with all legal requirements related to providing health coverage for employees' children, including those mandated by Qualified Medical Child Support Orders (QMCSOs) and National Medical Support Notices (NMSs). This policy outlines our process for handling these orders to ensure timely and accurate implementation.

Content

Purpose: This policy establishes a standardized procedure for processing QMCSOs and NMSs to:

  1. Ensure compliance with ERISA and other applicable laws
  2. Provide clear guidelines for administering health coverage as required by these orders
  3. Protect the rights of all parties involved, including the employee, the child(ren), and the custodial parent

Note: The Total Rewards team is responsible for following and actioning the process linked below. 

QMCSO and NMS Process:

  1. Receipt of Order:
    • Upon receiving a QMCSO or NMS, date-stamp and log the document.
    • Forward to the Plan Administrator within 1 business day.
  2. Initial Review (within 5 business days):
    • Plan Administrator reviews for completeness and compliance with QMCSO requirements.
    • If incomplete, notify the issuing agency or court of deficiencies.
  3. Notification to Parties (within 10 business days of receipt):
    • Notify the employee, alternate recipient (child), and custodial parent of: a) Receipt of the order b) The plan's procedures for determining qualification
    • Provide a copy of the QMCSO procedures
  4. Qualification Determination (within 40 business days of receipt):
    • Determine if the order qualifies as a QMCSO.
    • If qualified, proceed to enrollment.
    • If not qualified, provide written explanation to all parties.
  5. Enrollment (if qualified):
    • Enroll the child in the appropriate health plan.
    • Notify the employee of any required contributions.
    • Inform the custodial parent/alternate recipient of coverage details.
  6. Ongoing Administration:
    • Maintain records of the QMCSO/NMS and related correspondence.
    • Ensure continued coverage as required by the order.
    • Terminate coverage only when permitted by law or the order.
  7. Confidentiality:
    • Maintain confidentiality of all QMCSO/NMS information.
    • Share information only on a need-to-know basis
