2] Medical

Camunda offers Private Medical Insurance (PMI) via AXA. Cover is provided for you and your dependents at no cost.

The cover is treated as a benefit in kind for tax purposes. Camunda pays the premiums on your behalf, but you will be taxed on the cost of these at your highest marginal rate of tax

b. Treatment including Comprehensive Cancer Cover

  • Full coverage for in-patient and day-patient hospital costs, including surgery, diagnostic tests, drugs, and accommodation
  • Specialist and anaesthetist fees for in-patient or day-patient treatment
  • Out-patient CT, MRI, and PET scans on specialist referral

c. Full Out-patient Coverage

Camunda does not have access to the AXA app due to our current size. You may access AXA's online member portal where you can review scheme documents and review claims.

Onboarding

To enroll in medical cover, you will receive an esign request in bob with your PMI election form on your first day of employment. Once complete, the People Connect team will coordinate with BAS to update AXA. The PMI form needs to be completed within your first 30 days of employment in order to be backdated to your start date. 

Once enrolled, you can expect to receive an email from AXA within 48 hours containing your new joiner pack. At that time, you will also have access to the AXA Health online member portal, where you can access scheme documents and review claims. 

Changes

Changes to your enrollment can only be made at your time of hire, during annual renewal or if you experience a qualifying life event.

Qualifying Life Events

Qualifying Life Events need to be submitted to the People Ops team within 30 days of the event.

  • Turning 26 and losing coverage through a parent’s plan

  • Divorce 
  • Birth or Adoption of a Child 
  • Death in the Family

Medical Offboarding 

Once your termination has been submitted into bob, the People Ops team will inform BAS via email. BAS will then remove your coverage effective on your termination date. 

You will also be given the opportunity to move your plan to an individual basis. AXA will reach out to you directly with instructions on setting this up. 

3] Life Insurance via AIG

  • The effective date of medical cover depends on when the PMI form is returned to People Operations. Once we have the signed form we can backdate up to 30 days (although no earlier than the hire date).

    • No Excess (i.e., you don't pay towards any claims)

    • Unlimited out-patient cover
    • Comprehensive cancer cover
    • Dental cover of 80% up to 400 GBP per year for routine dental treatment
    • Optical cover of 80% up to the cost for prescription glasses and contact lenses up to 200 GBP per year plus 25 GBP for an eye test

    Enrolling in Medical Cover

    If you would like to enroll in medical cover or change your election, please fill out and return the Camunda PMI Election form to People Operations. We will coordinate with Chase de Vere to update AXA.

    Life Insurance

    All employees are covered through Group Life Insurance (GLA) at 4x your base salary in the event of your death whilst working for Camunda Ltd.

    • There is no enrollment needed to participate in the benefit and no cost to employees.
    • If you're over the free cover limit, additional underwriting from AIG may be required. To complete this, AIG will reach out via email requesting details. 
        Expression of Wishes Form
          • Registration can be completed using your National Insurance number. If your NI number is not in bob, then a temporary number will be provided by the People Ops team. 
          • Underwriting can be waived through AIG if desired. 

        Group Life Expression of Wish Form 

        • As part of your onboarding in bob you will receive a task prompting you to complete your expression of wish nomination.

        4] Income Protection via AIG

        All employees are covered through Group Income Protection (GIP) for 60% of your base salary. There is no enrollment needed to participate in the benefit and no cost to employees.

        • This will protect you if you are unable to work due to accident, sickness or disability.
          • The evidence relating to the medical condition.
          • Severity
          • How long it has existed. 
          • How it affects the member’s ability to work. 
          • Each case is subject to review by submitting a claim. The claim is then assessed by AIG using the following criteria. 
        • The plan will pay out after 13 weeks continuous absence, and until this time you will be paid in accordance with your employment contract with Camunda.
        • Once a claim is active, the benefit has a provision included to increase at a rate of 3% per annum.
        • There is no enrollment needed to participate in the benefit and no cost to employees.

        • The Income Protection scheme covers employees up to the State Pension Age, the date they return to work or the date they pass away.

        5] Smart Health 

        Being part of the Camunda team, you get access to Smart Health through AIG. This health and well-being provider offers the following services.

        This service can be accessed 24/7, 365 day a year from any location. These services are also available to your dependents up to age 21. 

        To participate in Smart Health's offerings, download the Smart Health by AIG app or visit the Smart Health website.

        6] Pension Plan 

        Pension 

        Camunda offers Private Group Pension Scheme through Aviva with Salary Sacrifice (an opt out option is also available). Full Plan details can be found in: Camunda Pension Summary More information about Salary Sacrifice can be found in: Salary Sacrifice Information Packet The plan includes an automatic enrollment provision for new employees of 6% employer contribution, 5% employee contribution (contributions based on base salary).

        Camundi are required to contribute a minimum of 3% (combined contribution of 9%).

        Employer contributions are maxed at 6% regardless of any additional employee contributions. 

        Pension Plan Onboarding 

        You are auto enrolled in the pension scheme effective from your start date. You can expect to see your first contribution reflected in your first pay cycle. 

        You can expect to receive your welcome pack from Aviva post to your home address 10-15 business days from the date your first contribution is applied to the scheme. 

        Pension Opt Out

        Once you’re auto enrolled in the company pension scheme you will receive a membership pack from Aviva. Should you wish to opt out of the pension scheme please follow the process as outlined in your enrolment letter. Please also email people-operations@camunda.com & payroll@camunda.com to inform us of your actions (note: you may only opt out with Aviva directly, your notification to Camunda is purely for documentation purposes). 

        Aviva Expression of Wish Form 

        As part of your onboarding in bob you will receive a task prompting you to complete your expression of wish nomination. 

        • The task is labeled "Please complete - Aviva Pension: Expression of Wish Nomination."
        • You are required to have at least 1 beneficiary and the form lists up to 5, however should you wish you have more please contact people-operations@camunda.com / #ask-people-team.
          • Please note that in all cases the percentage split should have a total of 100%. 
        • Once you have completed this task it will automatically save in your benefits folder on bob under the documents tab.
        • If at any point you would like to update your expression of wish form, please contact people-operations@camunda.com /#ask-people-team. 

        Changing your Pension Contributions

        • To change your contributions, initiate a request by navigating to your profile in Bob and selecting Actions > Update profile > Pension Contribution Change Request
        • Press Add > then acknowledge that you have read this page of the handbook in the drop down > Next > Next > Done
        • This will automatically trigger an esign document in bob, in which you need to enter and confirm your contribution change. 
        • Camundi will fill and sign via bob. 
        • Once complete, the file will be saved in your payroll folder, and a notification will be sent to payroll to view the document and adjust the contribution accordingly. 

        Please note that any contribution changes will be effective the next month of payroll following the signature date on the esign document. 

        Pension Offboarding

        Your pension plan is owned by you, but upon your departure contributions will cease. Your final employee and employer contributions will be calculated and funded in your last paycycle. 

        Following your departure, there are a few alternatives available to you: 

        1. Continue with your personal contributions via direct debit with Aviva. 
        2. Make the plan ‘paid up’. This means that no contributions will be paid to the Plan, but the funds will remain invested. You will be able to resume contributions at a later date if you choose.
        3. Transfer to another approved pension arrangement.

        7] Eye and Eyesight Testing for DSE Users

        As part of our commitment to Camundi health and safety, and in compliance with HSE regulations, Camunda Ltd offers reimbursement for eye and eyesight testing for all Display Screen Equipment (DSE) users. This benefit is in addition to our existing medical coverage through AXA.

        Eligibility

        All Camundi who use display screen equipment (such as computers, laptops, tablets, or smartphones) as a significant part of their normal work are eligible for this benefit.

        What We Offer

        1. Eye Tests:

          1. We will reimburse you for a full eye and eyesight test conducted by an optometrist or doctor, including a vision test and an eye examination.

        2. Glasses for DSE Work:

          1. If the test shows you need special glasses specifically for DSE work, we will reimburse you for frames and lenses.

          2. These glasses must be specifically for the distance the screen is viewed at during your work.

          3. If you require glasses for general use (not specifically for DSE work), we are not obligated to reimburse for these.

        How to Claim Reimbursement

        1. Book and attend an eye test with an optometrist of your choice.

        2. If the test indicates you need special glasses for DSE work, purchase these as advised by your optometrist.

        3. Submit your claim for reimbursement by emailing @Wesley Hattingh, including:

          1. The receipt for your eye test

          2. The optometrist's report indicating the need for DSE-specific glasses (if applicable)

          3. The receipt for DSE-specific glasses (if applicable)

        4. The Total Rewards team will review your claim, and forward to payroll for processing, informing you of the outcome.

        Frequency of Tests

        You can claim reimbursement for an eye test once every two years, or more frequently if recommended by your optometrist or doctor.

        Reimbursement Policy

        Camunda is committed to covering reasonable costs for eye tests and DSE-specific glasses. While we don't set strict limits, we provide the following as a general guide:

        1. Eye Tests: Standard tests in the UK typically cost between £20 and £35.

        2. DSE-Specific Glasses: A good quality pair usually costs between £50 and £150.

        We trust Camundi to make cost-effective choices while ensuring they get the necessary eye care. If you anticipate higher costs due to special circumstances, please contact the Total Rewards team before your purchase.

        Additional Information

        1. To help reduce eye strain, ensure your workstation is set up correctly, take regular breaks, and follow good DSE working practices.

        2. If you experience any discomfort or concerns about your eyesight when using DSE, please inform your manager or the People Operations team promptly.

      • Aviva has access to over 200 funds with online account management.
      • What are the advantages of being in a workplace pension?

        1. You have your own individual pension pot.
        2. There’s a range of investment options for you to choose.
        3. The Scheme is a tax efficient way to save and your employer pays into the pot as well.
        4. You can access your pot flexibly, at any time from age 55 and continue to pay contributions. This increases to 57 from 2028 unless your plan has a protected lower pension age. (Note: If you take more than your tax free cash sum, this would trigger the money purchase annual allowance and could restrict the ability to make further pension contributions tax-efficiently).
        5. Online account management and other resources to follow the progress of your savings.
        6. Flexibility to take your pension fund with you if you change jobs.

Chase de Vere was established in 1969 and is well versed in the UK market. Chase de Vere does not provide financial counseling or advice to employees however they are available to answer questions. 

        We have selected this broker to ensure a focus on our customers (in this case our employees!) by enabling the best possible experience in benefits selection and support. BAS will support Camunda by providing advice on the best products and services, while also guiding our administrators and employees through our current plan features and processes.
